As an Executive Assistant & Project Manager, you will be the right hand of the CEO. In this role, you will be responsible for relieving and assisting the CEO with a variety of administrative tasks. The role also includes managing certain projects.

Responsibilities

  • Meeting and event planning: Organizing and scheduling meetings, preparing agendas, and coordinating logistics include the preparation of presentations and other meeting materials.
  • Communication: Maintaining organized systems for important documents and ensuring effective communication, both internally and externally. They emphasize the importance of handling sensitive information with discretion.
  • Calendar and travel management: Managing the calendars of senior executives, scheduling appointments, and arranging travel accommodations.
  • Project involvement: Involvement in special projects, coordination, and support to ensure tasks are completed effectively and deadlines are met.
  • Document preparation: Preparing, proofreading, and distributing various documents and reports. Ex reports, presentations, agreements.
  • Expense management: Managing budgets and expenses, processing expense reports, and ensuring adherence to financial guidelines. 

Skills and qualifications

  • Proficiency in Microsoft Office: Strong skills in Microsoft Office applications, particularly Word, PowerPoint, and Outlook.
  • Organizational and time management skills: Importance of excellent organizational skills, the ability to prioritize tasks, and manage time effectively.
  • Communication skills: Strong verbal and written communication skills.
  • Professionalism and discretion: Handling confidential information with utmost discretion and maintaining a high level of professionalism.
  • Fluent in Swedish, both spoken and written.

Experience and background

  • 3+ years of relevant work experience.
  • Academic education is an advantage (Bachelor or Master degree).
  • Experience from a fast-paced environment.
  • Experience in project management.
