Ortodontiakademin is a small, specialised orthodontic clinic on Norrmalm in Stockholm. Quality, personal care and well-functioning workflows are central parts of our everyday operations. As a small team, every member plays an important role – both in the patient experience and in how the clinic runs as a whole. Please read more about us on our homepage.
The Role
We are looking for a clinic coordinator who wants to work closely with the practice and become a key part of our daily operations. The role is a good fit if you have clinical experience from dentistry or orthodontics – for example as a dental nurse or orthodontic assistant – and enjoy combining patient-facing work with coordination, structure and responsibility.
You will work both clinically and in a coordinating capacity. You will be involved in patient flow, contribute to the smooth running of treatment days, and ensure that routines, communication and practical details are kept on track. You will also support the CEO and clinic management in day-to-day work – for example by following up, coordinating, implementing and helping to develop ways of working that make the clinic even better.
Who You Are
We believe you are someone who sees what needs to be done and gets on with it without waiting for detailed instructions. You are confident in your interactions with patients, warm and professional in your communication, and build trust naturally. At the same time, you are structured, thorough and comfortable working in digital systems, patient record systems and administrative workflows.
Because the role is broad, you need to thrive in a small organisation where tasks can vary. One moment might involve patient contact or clinical work; the next, solving a practical problem, improving a routine or helping to create clarity in everyday operations. You need to be unpretentious, proactive and able to keep several things moving simultaneously without losing quality or presence.
Requirements
To be considered for this role, you must have:
• Qualification as a dental nurse or equivalent relevant background
• Experience of patient-facing clinical work in dentistry or orthodontics
• Proficiency in digital tools and systems (patient records, administrative workflows)
• Fluency in English, spoken and written
Advantageous:
• Experience from orthodontics
• Previous responsibility for clinic workflows, reception, treatment coordination, routines, quality or coordination in a healthcare setting
• Fluency in Swedish, spoken and written
What We Value Most
What matters most to us is not only what is on your CV. We are looking for someone with sound judgement, a sense of responsibility and potential. You need to be a reliable anchor in the team, contribute to a positive atmosphere and help move the practice forward. Over time, there is opportunity to grow into broader responsibility for clinic operations and development.
This Role Suits You If…
…you want to be close to the patients, close to the team and close to the practice. You do not just want to carry out a defined task – you want to be part of building something well-functioning, professional and long-term.
